How do I use the travel time calculation using the plugin Web&Map in Daylite?

With the travel time calculation you calculate the arrival and departure time for a Daylite appointment and have it created as an appointment in Daylite right away. Your calendar then shows at a glance when you need to leave – including buffer time and an optional return journey.

The travel time calculation is a special feature of the Web&Map plugin and an exclusive feature of the Plus Package for Daylite. It runs as a widget in the Daylite Copilot.

Using the travel time calculation

Creating travel time appointments

1. Create an appointment and enter your destination address in it. To learn how to add an address to an appointment, see Address look-up in an appointment
2. Open the travel calculation widget in Copilot.
3. Define your start address.
   • This can be the address of your identity or the address stored in your contact. You can also use the address of the company linked to you, a customised address or the address of the last appointment. More info is available under Defining the default settings.
4. You can make various default settings for all journey time calculations using the standard settings.
   • Which type of transportation should be used
     
     (for technical reasons, no visual route is displayed for public transportation)
   • Which start address should be used
   • Whether you want to have a buffer time between arrival and the actual appointment, e.g. if you have to walk from the car park to the actual appointment location.
   • Which category the travel time appointments should have, e.g. if they should deviate.
   • Whether an appointment for a return journey should also be created automatically.
5. You can customize the addresses using the arrow icons next to the start and destination addresses.
6. Click on Create travel time appointment and the appointments will be created.
7. You can use the map symbol to send your journey time calculation to Apple Maps and use it for navigation, e.g. in your vehicle in Apple Carplay.

Defining the default settings

You can make various default settings in the travel time calculation, which are automatically used for every travel time calculation. You can access the settings via the cogwheel symbol.

You have the following setting options here:

Choose default start - Select which address should be used as the start address. The identity from Daylite is used here by default. Alternatively, you can also use your address, the address of your company, a user-defined address or the address of the last appointment. You can use the arrow symbol to jump directly to the settings to configure your addresses.

Type of transportation - Here you can specify whether you are traveling by car, by foot or by public transport.

Buffertime - Here you can define how much buffer should lie between the arrival and the actual appointment, e.g. if you have to walk from the car park to the actual destination after arrival.

Appointment category - Here you can assign the category for the appointments or blockers that are created for the arrival and departure.

Return journey - With this slider you can determine whether only an appointment should be created for the journey there or also one for the return journey.

Adjusting travel time appointments after the main appointment was moved

If an appointment has been planned or accidentally postponed, the created travel time appointments no longer match with the start time of the appointment. This change is displayed within the Travel time widget in the Daylite Copilot.

The following 3 options are available for adjusting the appointments:

1. Reset appointment: The main appointment is reset to the original start time.
2. Refresh travel appointments: The travel time appointments, that have already been created, are adjusted to the new start time of the main appointment.
3. Delete travel appointments: The travel time appointments, that have already been created, will be deleted.

What happens if travel time appointments are postponed manually?

If a travel time appointment has been planned or accidentally postponed, these travel time appointments no longer match the start time of the main appointment. This change is displayed on the main appointment within the Travel time widget in the Daylite Copilot.

It is also displayed on the travel time appointment in the Travel time widget in the Daylite Copilot, that the start date of the appointment has been changed.

The following 2 options are available for adjusting the appointments:

1. Reset changes: The travel time appointment is reset to the original start date.
2. Accept changes: The manually set start time of the travel time appointment is confirmed.

Error messages

When using the travel time calculation, the following error messages may be displayed:

Plus Package not subscribed or Plus Package plugin not installed

The travel time calculation is a special feature of the Web&Map plugin that requires a Plus Package for Daylite subscription or an active Plus Package trial phase. The Plus Package plugin must also be installed and the Daylite Copilot activated in order to use the travel time calculation.

No or invalid start address

If the source for the start address selected in the travel time calculation settings does not contain an address or contains an invalid address, this error message appears. You can use the Alternative start address button to define a different source for the start address or use the button with the arrow to edit the addresses of the sources (identity, user or company).
