With the Daylite plugin DayliteDocs you can integrate Dropbox with Daylite.
Get access to files and folders in your Dropbox from within Daylite or delegate files from Dropbox to your colleagues for further editing.
This article covers the functionality of the Dropbox integration. You'll find the DayliteDocs tab and its sub-section Dropbox in many places in Daylite, for example with persons, companies, projects and opportunities.
Please note:
We highly recommend to have your Dropbox settings adjusted so that your local Dropbox folder sits in the Users / Shared directory. This ensures that files from your Mac can easily be shared with others.
Please make sure you have this set up accordingly before proceeding!
When you first use the Dropbox integration you're presented with two choices: Link Folder and Create Folder
Link Folder
This allows you to link an existing folder from Dropbox with the selected Daylite record. Simply select the folder you'd like to have linked and all contained subfolders and files will be displayed as a list:
In addition, on the right side of the window you'll find a preview area.
Hint: If files and folders are not being displayed here, please check your Dropbox settings with regards to selective sync and smart sync.
Create Folder
This allows you to create a folder on Dropbox for this record. Click the icon, then pick the desired target folder via the little folder icon and provide a name for the folder:
If you have confirued automatic subfolders and want to have them added, check the box for automatic subfolders above. Automatic subfolders are configured in the DayliteDocs settings in the Dropbox section.
Automatic subfolders makes it possible to have specific folder created automatically so that you can have a consistent folder structure across the entire database.
Example: Main folder Clients -> subfolders for each client -> subfolders for projects and opportunities, inbox and outbox folders
If you configured to have a Dropbox-link written to a custom field and want to use the function, check the box above (create Dropbox link). Dropbox links are configured in the DayliteDocs settings in the Dropbox section.
Once the target folder is created, all contained files and subfolders will be displayed as a list. In addition, on the right side of the window you'll find a preview area.
Working with Drop-Zones
Drop-Zones allow you to add files from the macOS Finder to Dropbox via drag and drop.
Drop-Zone 1 copies files into the main folder, Drop-Zone 2 copies files to the subfolder selected in the list.
Please note: Sometimes it can take a little bit of time for files to show in Daylite after you dragged them into a Drop-Zone!
The drop-down menu
Clicking the Dropbox icon lets you expand a little menu with additional functions:
You can delete the mapping to the Dropbox folder, rename the Dropbox folder, show in Finder and manage the sharing options.
Managing the Dropbox Link
Please note that you'll require a Dropbox Professional Plan to adjust Who has Access, Expiration and Disable downloads. Lower tier Dropbox plans don't have this functionality and the features will appear greyed out.
Creating tasks with a Dropbox-Link
When you right-click a Dropbox file or folder in Daylite you can create a task with a Dropbox-Link. Just tick the checkbox at the bottom of the task creation window, the Dropbox-Link will be written into the location field.
Open With and Show in Finder
In the lower right corner you'll find the options Open With and Show in Finder
Open With shows you a list of apps installed on your Mac that can open the selected file. Pick the app you'd like to use to work on a file with.
Show in Finder displays the selected folder or the selected file in the macOS Finder.
